Sam sport ASBL places great importance on protecting your personal data and that of your child. This policy explains what data we process and how.
1. Data controller

2. Data relating to minors
Sam sport offers swimming lessons for children. When a request concerns a child, the contact form must be completed by a parent or holder of parental authority. By ticking the consent box, that person expressly authorises the processing of the child's data (first name, age), in accordance with Article 8 of the GDPR. These fields are optional and limited to what is useful to handle the request.
3. Photos of children
Photos of children may be published on this website. They are only published with the prior written consent of the parents or holders of parental authority. Anyone may request the removal of a photo by writing to info@samsport.be.
4. Data collected and purposes
Through the contact form, we collect the name and email address (mandatory), the phone number, the child's first name and age (optional), as well as the content of your message. This data is used solely to handle your request. The legal basis is consent (Article 6.1.a of the GDPR), obtained via the form's checkbox.
5. Registration and payment at Anderlecht
When a parent registers their child for lessons at the Anderlecht pool, Sam sport ASBL processes, in addition to contact details, the elements required to confirm the spot and pay the deposit online by bank transfer: parent's email address, swimmer's identity, transfer reference and amount. The legal basis for this processing is the performance of the registration contract (Article 6.1.b of the GDPR). Payment details transit through our bank and are recorded in the accounting maintained by our accountant. In accordance with Belgian accounting law (Companies and Associations Code), supporting documents related to a payment are kept for 7 years.
6. Recipients and processors
Your data is sent by email to authorised staff of Sam sport ASBL. The delivery of that email is handled by our processor Resend, Inc. The website is hosted by Vercel Inc. Anonymous site usage statistics (page views, without cookies or identifiers) are measured by Vercel Analytics, provided by our hosting provider. Anonymised technical errors (without IP or identifier) are sent to Functional Software, Inc. (Sentry), with storage on servers in Germany (EU), for diagnostic purposes only. The online registration form is provided by Google LLC (Google Forms): when you click "Register online", you are redirected to a service hosted by Google. Transfers to the United States (Resend, Vercel, Google) rely on the EU-US Data Privacy Framework. This site's contact form is "stateless": no data is stored by the site or kept on the hosting servers.
7. Retention periods
Contact request emails are kept by Sam sport ASBL for a maximum of one year after the last exchange, then deleted. Accounting documents related to payments (Anderlecht) are kept for 7 years (legal obligation). Your language choice is stored in your browser (local storage); you can clear it at any time.
8. Your rights
In accordance with Articles 15 to 22 of the GDPR, you have the right of access, rectification, erasure, restriction, objection and portability, as well as the right to withdraw your consent at any time. To exercise these rights, write to info@samsport.be.
9. Complaint
You may lodge a complaint with the Data Protection Authority (DPA), Rue de la Presse 35, 1000 Brussels — contact@apd-gba.be — www.dataprotectionauthority.be.
10. Cookies
This website uses no audience-measurement cookies. Only strictly necessary storage is used to remember your language choice. The Contact page may display a map (Google Maps); this external content, which may set third-party cookies, is only loaded after your explicit consent via the cookie banner.
11. Security
We implement appropriate technical and organisational measures: encrypted connection (HTTPS), minimisation of the data collected, and no storage of form data.
